The British Chamber of Commerce in Japan (BCCJ) is a not-for-profit membership organisation serving around 220 companies and representing over 1,000 high-calibre members. The chamber offers high-value events, productive networking and promotional opportunities, valuable information services and access to influential institutions and individuals.
About this role:
The BCCJ is pleased to expand their innovative team with a talented Events Coordinator.
As the Events Coordinator, you will be the driving force behind the chamber’s diverse range of virtual, hybrid and in-person events. A knack for detail and versatility will be essential as you plan, organise, and execute approximately 40 engaging events per year tailored to both support existing members and engage prospective companies.
We’re seeking a passionate individual with stellar communication and project management skills. While a background in business is not required, your enthusiasm for learning and developing an understanding of the industries is crucial. Your ability to craft informative and unique events in both digital and physical realms will be instrumental in succeeding in the role.
You will report directly to the Executive Director, work closely with the entire BCCJ team, and engage directly with BCCJ member companies to participate in, support and join the events.
Employment Term: April 1, 2024 – March 31, 2025
Primary Responsibility: Support BCCJ Executive Director with all aspects of event planning and production, to deliver approximately 40 events per year, each with specific aims, objectives, and audiences.
Salary: To be negotiated, will depend on qualification and experience.
Hours: Full-time. Normal working hours will be between 9:00am-5:00pm Monday to Friday, and will include occasional early morning and evening work. Total number of working hours each month will average out to a maximum of 40 hours per week.
Location: Based in BCCJ office in Tokyo Midtown, Roppongi with flexibility for remote working.
Benefits: 20 days paid annual leave. The BCCJ shall also participate in the following government-managed labour and social insurance programs pursuant to Japanese law, if applicable: (i) health insurance; (ii) welfare pension insurance; (iii) worker’s compensation insurance for labour accidents; and (iv) employment insurance.
Experience required:
- Minimum of 1+ years of event planning experience across a broad range of events e.g. conference, seminars, round tables, networking events, volunteer events, virtual broadcasts and webinars.
- Bachelor’s degree preferred.
Skills and Attributes:
- Fluent in English and Japanese preferred.
- Proficient use of MS Office (Word, PowerPoint, Excel) and Google Suite.
- Proven experience with meeting management software and technology platforms such as Zoom, MS Teams.
- Strong written and verbal communication, able to deliver clear, concise information tailored to specific and varied business audiences.
- Well-organised with an ability to multi-task and prioritise workload with excellent time management.
- Ability to effectively solve problems, think creatively, make decisions and take action, exercising independent judgment
- Ability to maintain a professional and positive attitude and work independently with little guidance in a fast-paced, changing environment
- Adopts a learning mindset, open to feedback, seeks opportunities to learn and develop self and others.
